Realm Tiles — Privacy Policy

Hey — I'm Shepherd. Realm Tiles is one guy, one LLC, and a few hundred people in a Discord. That means when you hand this company your email address, you're handing it to a person, not a data department.

So I wrote this the way I wrote the Terms: in plain English, by the person who actually handles the data. No boilerplate, no hedging, nothing buried.

The whole thing comes down to one promise, and it's in section 2. Nothing else in here contradicts it.

1. Who we are

Realm Tiles is a 3D-printable tabletop terrain company, owned and operated by Shepherd Creations LLC, a limited liability company based in Tuttle, Oklahoma (73089). I'm Shepherd — the solo founder. I design the pieces, run the store, manage the community, and, yes, I'm the person who reads the emails.

This policy explains what information Realm Tiles collects, why, and what I do (and don't) do with it. It covers realmtiles.com, the Forge Builder, the Command Center, the Discord community, and everything else under the Realm Tiles roof. When this policy says "I," "me," or "we," that's Realm Tiles / Shepherd Creations LLC. When it says "you," that's you.

2. The one rule

Everything below comes back to this:

I will never share your data. I only use it for internal purposes — running Realm Tiles and serving you.

That's not fine print. That's the whole point. I don't sell your information, I don't rent it, I don't hand it to advertisers, and I don't use it to chase you around the internet. The data you give Realm Tiles stays inside Realm Tiles. Everything else in this document is just me explaining how I keep that promise.

3. What data we collect

Here's everything, grouped by type. I only collect what running the service actually requires, and I'd rather not hold anything I don't need.

Identity & account

  • Your email address
  • Your display name (what shows up in the community)
  • Your Discord username and Discord ID, if you link your Discord account

Purchase & subscription

  • What packs and files you've purchased or unlocked
  • Your subscription tier (for example, Round Table) and when it started
  • Payment records — handled by Stripe. I never see or store your card number. More on that in section 8.

Shipping (only when it applies)

Realm Tiles is digital-first, and for digital orders I don't collect or store a mailing address at all — I don't need one to send you a file. A mailing address is collected only if you order a physical product (for example, once print-on-demand ships), and only to get that product to you.

Community & Discord

  • Roles you hold in the Discord server and when you joined
  • Votes you cast in community polls, if the poll integration is running (used to tally what the community wants me to build next)

AI support chat

If you chat with the Realm Tiles support assistant, I store the conversation. See section 10 for exactly what that means and how to have it deleted.

Commercial license applications (makers only)

If you apply for a commercial maker license, I collect your business basics, storefront links, printing setup, and Discord verification — plus the IP address and browser info attached to the application, as a basic anti-fraud record.

Analytics

Aggregate stuff: page views, download counts, and Forge Builder session data (roughly how long a build took, saves, exports). This is about understanding how the tool gets used — not tracking you personally.

4. How we use it

I use your data to get you your files, keep your access working, run the Discord, answer you, and figure out what to build next. Specifically:

  • Fulfill your orders and give you access to the files and packs you're entitled to
  • Manage your subscription and keep your access in sync
  • Run the Discord community and keep roles matched to subscriptions
  • Answer your support questions
  • Understand, in aggregate, how the tools get used so I can make them better

That's it. I don't use your data to build advertising profiles or sell you to anyone.

5. How your data is stored

Realm Tiles runs on Cloudflare — Workers, R2 storage, and D1 databases. Your data lives there, encrypted at rest, on servers located in the United States.

Sensitive fields get extra protection. Login sessions are stored as one-way hashes, never as raw tokens. Where I hold anything genuinely sensitive (like a contractor's tax ID for HR purposes), it's encrypted before it's ever written down.

6. Who has access to your data

Right now: me. Solo founder, one set of hands.

As Realm Tiles grows, I may bring on a small number of trusted contractors or employees to help run things. When I do:

  • They only get access to what their specific role actually requires — nothing more.
  • They sign a confidentiality agreement before they touch anything.
  • The "never share your data" rule binds them exactly like it binds me.

I'll never open your data up to anyone who doesn't need it to do a job for Realm Tiles.

7. What we don't do

Most privacy policies bury what they actually do. I'd rather say the negative out loud:

  • I don't sell your data. Not to anyone, not ever.
  • I don't market you to third parties. No lead lists, no data brokers.
  • I don't run advertising trackers beyond whatever standard cookies my website host (Squarespace) sets by default during the current transition — and I'm working to keep even those minimal.
  • I don't share your behavior with analytics companies that monetize it. No surveillance-economy middlemen sitting between you and me.

No ads, no algorithms, no bullshit. That principle runs through everything I build.

8. Payment processing

Payments run through Stripe, an industry-standard payment processor. When you pay, your card details go straight to Stripe — Realm Tiles never sees or stores your full card number. What I keep on my side is limited to a Stripe customer reference and your subscription record, so I know your plan is active and can support you.

Stripe has its own privacy practices that apply to the payment side of things. You can read them at stripe.com/privacy.

9. Cookies & tracking

Cookies are small files your browser stores. Realm Tiles uses them sparingly, and here's the honest breakdown:

  • Essential cookies — keep you logged in and keep the site working. These are session cookies (my admin/login session cookie lasts about 14 days). You can't really opt out of these without breaking the site, because they are the site working.
  • Squarespace cookies — while realmtiles.com runs on Squarespace, their platform sets some of its own cookies. Those are governed by Squarespace's cookie practices, and you can manage them through your browser settings.

You can clear or block cookies anytime in your browser settings. The essential ones will just get re-set when you log back in.

10. AI support chat data

If you use Lumin, the Realm Tiles support assistant, here's exactly what happens:

  • Your conversation is stored so the assistant has context and so I can review it and improve the service.
  • I review these chats personally. They help me spot what's confusing, what's breaking, and what people need.
  • They're never shared — same rule as everything else.
  • You can have your chat history deleted. Email support@realmtiles.com and ask.

Lumin handles frontline questions and routes anything sensitive (refunds, complaints, warranty claims, legal stuff) straight to me.

11. Data retention

If you've ever bought from me, subscribed, or even just grabbed the free demo, I keep your account so your files are waiting when you come back. I hold very little to begin with, and I only delete when you ask.

  • What I hold is minimal: your name and email, what you've purchased or unlocked, and your subscription record. For digital orders that's all I need — I don't collect or store a mailing address for digital customers. (A shipping address is collected only if you order a physical product, once print-on-demand ships.) Card numbers live with Stripe, never with me.
  • If you have any history with Realm Tiles — a purchased pack, a past or current subscription, a commercial license, or even just the free demo download — I keep your account and your access to the files you own indefinitely. No expiry, no inactivity clock. Anything you bought is yours to re-download whenever you come back.
  • Canceling a subscription doesn't delete anything. It ends the subscription's perks going forward; the packs you bought outright stay in your library and your account stays put.
  • The only thing that removes your data is you asking me to — a direct request to close your account and erase your data. That's deliberate and permanent, and I handle it personally.
  • Some records I'm legally required to keep longer (tax and payment records). Those stick around only as long as the law requires.

12. Your rights

Your data is yours. You can:

  • Access it — ask me what I have on you.
  • Correct it — tell me what's wrong and I'll fix it.
  • Delete it — ask me to erase your data (except anything I'm legally required to keep).
  • Take it with you — ask for a copy in a portable format.

To make a formal data request — access, correction, deletion, or export — write to legal@realmtiles.com. That's the address of record for privacy requests, so nothing gets lost in the general support queue. If you'd rather just ask a question first, support@realmtiles.com works fine too. Either way it's a real inbox, not a black hole, and I'll take care of it.

13. Age

Realm Tiles is intended for adults (18+), or for minors using it with a parent or guardian's consent and supervision. I don't knowingly collect data from anyone under 13. If you believe a child under 13 has given me their information, email legal@realmtiles.com and I'll delete it.

14. Changes to this policy

If I change this policy, I'll update the "Last updated" date at the top. For anything significant — a real change in how I handle your data — I'll give you a heads-up through the community and/or email before it takes effect. I'm not going to quietly rewrite the rules on you.

15. Contact

Questions, requests, or concerns about your privacy — here's where to go:

  • legal@realmtiles.com — formal data requests (access, correction, deletion, export) and anything on the legal or privacy side
  • support@realmtiles.com — accounts, billing, files, prints, and general questions about using Realm Tiles
  • commercial@realmtiles.com — commercial licensing and print partnerships, including the data on a maker application

Or just talk to Lumin, the support assistant on realmtiles.com. Lumin handles the common stuff on the spot, and when it can't, it hands the conversation to me — I get back to people personally, usually within a business day.

One last thing. Nobody reads privacy policies, and the reason is that most of them are written to be unreadable. This one isn't. Every promise in here is something I can actually keep, because there's no ad network, no data buyer, and no growth team upstairs asking me to loosen it.

Realm Tiles isn't a faceless storefront. It's me, a CAD file, a print farm, and a few hundred people in a Discord who tell me what to build next. Your data is part of what you trusted me with when you joined that, and I take it exactly that seriously.
